Job Requirement

Scope of Work:

Project Administrative Assistant (PAA) – 1 Position

Reporting to: Project Coordinator

Purpose: PAAs will provide administrative support to the PCU.

Specific responsibilities:

      General office administration, including the reception of persons and correspondence and the management of calls and appointments.

      Proper filing and retrieval

Analytical and document preparation support to the PC and other officers of the PCU;

•      Day-to-day administration of supplies, utilities, maintenance of office equipment and furniture, and other services.

•      Prepare, collect and compile log sheets, and documents from drivers and make sure that they are neat and well prepared

•      Contact and supervise drivers on daily bases

•      Collect fuel bills from the suppliers and support the Finance Specialist for the preparation of monthly fuel analysis

•      Assist vehicle inspections, oil/filter replacements, track past maintenance and record them accordingly

•      Undertaking any other duties assigned by the PC.

Skills and qualifications

•      Higher National Diploma or higher in Secretarial, Office Administration, Business Administration, or other related field from a recognized learning institution.

•      5 years experience in a Project Assistant or similar position in a government or donor-funded Project;

•      Strong computer and communications skills (oral, written, presentation);

•      Fluency in English and Somali.

 

1. Contract Duration and Work Arrangement

The contract will be active for 12 months, and the successful candidate will be expected to report to the Project Coordinator with working hours from 08:00 am to 03:00 pm, Saturday to Thursday.  

2. Confidentiality and Data Protection

Regarding Confidentiality and Data Protection, all information and data encountered during consulting activities must be treated with the utmost confidentiality. The successful consultant will be required to adhere strictly to data protection regulations and policies, ensuring that sensitive information is handled securely at all times. Additionally, the successful consultant will be required to implement robust measures to safeguard data integrity and prevent unauthorized access, disclosure, or misuse of confidential information. Details of the Data Protection terms will be included in the Service Contract.
