Job Requirement | Role and responsibilities The Logistics and Admin Intern will
assist the logistics and Admin departments with tasks to ensure the smooth
running of the operations. This is a learning opportunity for individuals
looking to gain practical experience in logistics in the NGO sector. Key Responsibilities Logistics: ·
Support
the team in the supplier prequalification process ·
Participate
in a market assessment exercise led by the logistics team. ·
Assist
in the procurement process by collecting quotations, preparing purchase orders
and ensuring compliance with procurement policies. ·
Expedite
suppliers to ensure timely delivery of goods and services and address any
delays or issues. ·
Maintain
and update the asset inventory, ensuring accurate record-keeping for office
equipment and supplies. ·
Ensure
proper documentation and filling in logistics documents on Office 365 for easy
retrieval and audit readiness. ·
Assist
in data entry and updating databases, ensuring accuracy and completeness of
information ·
Support
the asset disposal process in accordance with organizational policies and
procedures. ·
Collaborate
with suppliers to build and maintain good working relationships. Admin: ·
Ensure
proper and systematic filing of all personnel files ·
Providing
logistical support for recruitment processes ·
Coordinating
appointments and background/reference checks, and communicating benefit
information ·
Induction
of new staff, schedule briefing with relevant departments and assist in email
address requests for new staff ·
Prepare
new staff (ID cards) ·
Ensure
that office and guest house supplies are requested for and timely distributed ·
Compliance
(Timesheet, and Leave) ·
Any
other task assigned by the Line Manager ·
Other
Duties: Perform any other duties assigned by the supervisor to support the
smooth functioning of the office and project operations. Skills and qualifications Our Ideal Candidate: ·
Recent
graduate with a degree in Supply Chain Management, Business Administration, or
a related field. Preference is given to candidates with higher academic achievements. ·
Basic
understanding of operations and logistics management. ·
Strong
organizational skills and attention to detail. ·
Proficient
in Microsoft Office (Excel, Word, PowerPoint). ·
Good
communication and interpersonal skills, with the ability to work as part of a
team. ·
Ability
to manage multiple tasks and meet deadlines. ·
Interested
in working in the NGO sector and contributing to humanitarian causes. ·
Fluency
